Welcome to Phuenthok Tours & Treks. Please take a moment to read through these Terms & Conditions carefully before confirming your booking. These terms are in place to ensure a smooth and transparent process for both you and us. By confirming a booking, you acknowledge that you have read and agreed to the following.

1. Booking Process

When you complete the checkout form and click “Confirm Booking”, a tentative booking is submitted to us. This is not a final confirmation, and no payment is required at this stage.

At this point, the price shown is an estimated cost based on your selections. While this often ends up being the final payable amount, we manually review all submitted bookings to ensure:

  • You’ve selected everything you actually need.

  • No unnecessary or duplicate services are included.

  • Special considerations or preferences (if any) are taken into account.

This verification process helps avoid errors and ensures you only pay for what’s necessary — saving both time and cost. It also gives us a chance to clarify any unclear selections and tailor the experience better to your needs.

You’ll receive an email confirmation immediately after submitting your booking — this will include your estimated cost. Please wait for our follow-up email, where we will verify and confirm the final details of your trip. Once you approve the finalized itinerary and services, we will send you a final confirmation email that includes the payment instructions (via international wire transfer).

2. Payment

All payments are made in full via international bank transfer. We do not accept partial or installment payments.

Bank transfer instructions will only be sent after we’ve finalized and confirmed your booking. Once payment is received, we will move forward with visa processing and additional traveler details.

Please note that international bank transfers typically take up to 5 business days to process. Your booking will be considered confirmed only after the full payment is received and verified.

3. Traveler Information

During the initial booking process, we only collect minimal information about the lead traveler — just enough to communicate and process the initial request.

The full and detailed information of all travelers will be collected offline, after payment has been received. We follow this process intentionally to protect your privacy and ensure the security of sensitive personal data. By avoiding the collection of full traveler details online, we significantly reduce the risk of data breaches and unauthorized access.

While we do not store your personal information on our website, we will need to enter your details into the immigration interface in order to apply for your Bhutan visa. This information is required by the Bhutanese immigration authorities to process your visa and will be used solely for this purpose. All data will be handled securely and only shared with authorized government entities.

4. Visa & Travel Documents

Bhutan requires a visa for all international travelers, except citizens of India. We will initiate your visa application only after your payment has been received in full.

Travelers are responsible for ensuring their passports are valid for at least six months beyond the travel dates, and that they meet any additional entry requirements.

5. Cancellations & Refund Policy

If you need to cancel your trip, please notify us in writing via email. Refunds will be processed according to the following schedule:

  • 30 days or more before arrival: Full refund.

  • 21–29 days before arrival: 10% cancellation fee.

  • 16–20 days before arrival: 15% cancellation fee.

  • 15 days or less before arrival: No refund.

  • After arrival in Bhutan: 100% non-refundable.

Please note: No refunds will be given for no-shows, early departures, or unused services once your tour has started.

6. Travel Insurance

We strongly recommend that all travelers obtain comprehensive travel insurance that covers trip cancellations, medical treatment, and baggage loss or delays.

Phuenthok Tours & Treks is not liable for expenses resulting from unexpected events such as flight disruptions, illness, natural disasters, or political unrest.

7. Tour Modifications & Liability

We reserve the right to adjust itineraries when necessary due to weather conditions, safety concerns, or unforeseen events. We will always strive to offer suitable alternatives that maintain the integrity and value of your tour.

While we do our utmost to ensure a smooth travel experience, we are not liable for damages, losses, or injuries resulting from circumstances beyond our control.

8. Health & Safety

It is the traveler’s responsibility to ensure they are in good health and physically fit for the tour activities. Any pre-existing medical conditions or special needs must be disclosed before final confirmation.

9. Code of Conduct

Bhutan holds deep cultural values and strict environmental regulations. All guests are expected to respect local customs, religious practices, and sustainability policies throughout their stay.

Disrespectful or disruptive behavior may result in removal from the tour without a refund.

10. Conflicting Terms

In the event of any discrepancies or conflicting terms found elsewhere on our website, the information provided in this Terms & Conditions document shall take precedence and supersede all other versions or statements. This ensures that you have the most accurate and up-to-date understanding of our policies.

11. Updates to Terms & Conditions

These Terms & Conditions may be updated or modified at any time without prior notice to reflect changes in our services, policies, or legal obligations. All revisions will take effect immediately upon publication, and the effective date will be displayed at the top of this page.

We encourage you to review these Terms & Conditions periodically. By continuing with your booking after any updates are published, you agree to be bound by the revised terms.
